Public & Destination Events

Events for municipalities and destinations.

A public event has to work for the administration, local businesses, residents and visitors. With one dedicated contact, we bring these stakeholders together and manage the project within the agreed scope – from concept to on-site coordination.

For municipalities, tourism organisations, DMOs, consortia, trade associations and business networks.

Scope

What your administration or destination receives

Depending on the assignment, some or all of these deliverables:

  • Event concept

Format, draft programme, target audiences and outline site layout – matched to location, season and goals.

  • Budget and timeline structure

Cost and funding framework plus a timeline with milestones and decision points.

  • Overview of partners and responsibilities

Who does what: administration, local businesses, specialist companies, authorities and VACANTO.

  • Coordinated infrastructure and production planning

Site, set-up, technical services and logistics – aligned with the specialist companies commissioned.

  • Agreed operational support

Coordination in the run-up and, where agreed, on-site management during the event.

  • Evaluation within the agreed scope

Observations, costs and feedback with recommendations for the next edition.

Local stakeholders

How we work with local stakeholders

A destination event works when local stakeholders are part of it.

  • Administration

Sets the goals and framework and approves the concept, budget and programme. We report at the agreed milestones.

  • Businesses and associations

Retail, hospitality, accommodation and local associations are involved from the start – as exhibitors, partners or co-organisers.

  • Specialist companies

Commissioned specialist companies handle technical services, structures, safety and logistics; we coordinate schedules and interfaces.

  • Competent authorities

Permits are applied for by the organiser and issued by the competent authorities. We prepare documents where included in the assignment.

Enquiry

Four details are enough to get started

We clarify everything else in the initial call. On request, we prepare a proposal setting out tasks, deliverables, timeline, responsibilities and fees, for your authority to assess under its own procedures.

  • Location

The municipality, district or site concerned.

  • Dates or season

A date, a period or, to begin with, just the season.

  • Goal

For example, reviving the town centre, extending the season or reaching new audiences.

  • Stakeholders

Who is already involved: administration, associations, businesses, sponsors.
